This policy explains how Arabica Coffee House Iraq, operated by Coffee Taste Company for General Trading & Commercial Agents Ltd., handles information for student, staff and creator memberships, registration pages, QR benefits and related WhatsApp communications.
Information we collect
Depending on your membership type, we collect your name, WhatsApp number, date of birth, gender, city, branch or college, membership status and QR identifier. Student applications include a student ID number, expiry date and ID photo. Staff records may include staff code, position and joining date. Creator applications may include email, social profiles and membership allowance or benefit details.
We also process application reviews, benefit redemptions, visit records and messages or delivery status associated with membership communications. Our website and service providers may process technical information, such as IP address and browser information, to operate the service and prevent abuse.
How we use information
- Review applications and confirm membership eligibility.
- Create and manage membership QR codes, discounts, allowances and birthday benefits.
- Record benefit use, apply visit limits and prevent duplicate registrations or misuse.
- Send membership updates and respond to support requests.
- Prepare operational membership reports for authorized Arabica staff.
WhatsApp communications
Where you have agreed to WhatsApp contact, we may send application updates, membership QR codes and benefit information. Promotional campaigns should be sent only with the relevant permission. WhatsApp communications are processed through Meta/WhatsApp services and are also subject to their privacy policies. You may reply STOP to opt out of automated WhatsApp messages, or contact us to request that messaging stop.
Who can access information
Authorized Arabica employees access information needed for their work, including membership review and branch benefit administration. We use Supabase to support registration and data storage, Meta/WhatsApp for messaging, and website hosting and security providers to operate the registration service. These providers process information as needed to deliver their services. Information may also be disclosed where required by applicable law.
Membership details and ID photos are not intended for public display. Service providers may process information in countries outside Iraq.
Photos, security and device storage
Student ID photos are used for eligibility review. The registration website asks you to select or take a photo; it does not require continuous camera access. We use access controls and secure connections to help protect submitted information. No storage or transmission method guarantees complete security.
The website may store registration-related information in your browser to help prevent repeated submissions and preserve interface preferences. Security services may use technical data to distinguish legitimate submissions from automated abuse.
Retention
We retain information while it is needed to review applications, administer memberships, maintain relevant benefit records and address support, security or legal needs. Retention depends on the type of record and the reason it is held. You may contact us to ask about your records or request deletion.
Your choices and deletion requests
You can ask to access or correct your membership details, withdraw permission for optional communications, or request deletion of your membership data.
Email info@arabicacoffeeiraq.com with the subject Arabica Membership Data Deletion. Include your name, registered WhatsApp number and membership type so we can identify the record. Do not send your password or a new ID photo by email. We may need to verify that the request is yours. We will explain any records that must be retained and why. Deleting membership data may end your ability to use the associated QR benefits.
Changes and contact
